TTC 2022 meeting at Aomori-city hosted by QST-Rokkasho
The mission of the TESLA Technology Collaboration (TTC) is to advance superconducting RF (SRF) accelerator R & D and related accelerator studies across the broad diversity of scientific applications, and to keep open and provide a bridge for communication and sharing of ideas, developments, and testing across associated projects.
To this end the Collaboration supports and encourages free and open exchange of scientific and technical knowledge, expertise, engineering designs, and equipment.
We cordially welcome you to join the TTC meeting held in Aomori, Japan as in-person meeting hosted by QST Rokkasho Fusion Institute in October 2022.
The in-person meeting may be postponed if the state of emergency is declared and/or the Japanese border measures become more stringent due to the COVID infection increase. The final decision will be made in the end of August.

Travel information
The Japanese border measures have been relaxed since 1st March 2022, and a new entry for business purposes is now allowed. As of the end of June,
- the VISA waiver program is not applicable,
- all foreign nationals who wish to newly enter Japan need to apply for a visa except for those with re-entry permit,
- application for visa shall be made by the applicant him/herself at the Japanese overseas establishments with jurisdiction over the area in which the applicant resides, and
- the certificate for registration to the Entrants, Returnees Follow-up System (ERFS) applied by QST and other documents are required for visa application.
So, please make the registration as soon as possible if you decide to travel to Japan to attend the meeting in-person. Then LOC will contact you immediately if your nationality is not Japanese in order start the visa preparation . The time required to obtain a visa is approximately 1.5 months from the start of the QST's internal process in our experience. Thus, the preparation should begin by mid-August at the latest. Although the policy may change in the future, we recommend that you prepare according to the current policy.
VISA application
Concerning the necessary documents to apply the visa, please refer to the following document and check the table in page 2:

You need to submit the following documents (items A in the table) at the Japanese overseas establishments, so it should be ready by the end of August:
- Valid Passport
- Visa application form (the standard form to be provided by QST)
- Photo (Passport Size)
- Copy of the reservation of your flight tickets with entry/departure dates
- Letter of mission or similar letter from your institution to show the travel expenses is covered by your institution,
- Certificate of employment
QST will prepare the following documents (items B in the table):
- Invitation Letter
- Itinerary during stay in Japan
- List of Visa Applicants (if multiple people of your institution apply visa at once)
If more than one person from a single institution is participating, it is recommended that they apply simultaneously to the establishment that has jurisdiction over their place of residence. LOC would ask a representative of each institution for the preparation.
For preparing the itinerary document, we need to know your detailed plan for travel, including the flight numbers for entry and departure, the way of the travel from/to the airport of entry in Japan, and the place of your stay (the name of hotel). These should be reserved (except for ground transportation), though not necessary to be paid. Please note that there are still restrictions on a new entry for tourism purposes, so it is not possible to combine vacations in Japan before or after the meeting.
Quarantine upon the entry
Everyone must submit your COVID-19 negative pre-test result made within 72 hours prior to departure at the airport upon the entry to Japan.

Your quarantine depends on the classification of the country or region of your stay before arriving in Japan and possibly your vaccination status, but most of major countries categorized in ‘Blue’ (US, Canada, Italy, UK, Switzerland, Germany, France, Korea, China, etc.), you don’t need to submit a vaccination certificate, you will not be subject to an on-arrival test no matter whether you are vaccinated or not, and no self-quarantine is required. How to get to Aomori
The most convenient way to get to Aomori is use an airplane from Tokyo’s Haneda airport (HND) to Aomoiri airport (AOJ). Japan Airline (JAL) operates several flights per day. If your international flight arrives at Haneda, it is easy and take no time to transfer to a domestic flight. If you arrives at Narita airport (NRT), you need to move to Haneda by a bus or a train. Normally, at least three hours transit time is required from Narita to Haneda, and it may take more time due to the quarantine process, so check with your airline and allow plenty of time.
You can also take a Hayabusa train on by the JR Tohoku Shinkansen from Tokyo to Shin-Aomori (3.5 hours) and transfer to a local train for Aomori Station (5 minutes). The entire one-way trip takes around 4 hours. Seat reservations are mandatory on Hayabusa trains.
